WALNUT + MAGNOLIA EVENTS SERVICE AGREEMENT
Please read this agreement carefully. Failure to adhere to these terms may result in cancellation and forfeiture of your deposit.
By signing this contract, you acknowledge and agree to the following terms and conditions:
Gratuities
Tips are never expected but always appreciated. If you choose to leave a tip, we kindly request that it be given in cash.
Processing Fee
All credit/debit card and PayPal transactions are subject to a 3% processing fee. You may avoid this fee by making your payment in cash.
Liability Waiver
- Walnut + Magnolia Events provides rental and entertainment equipment only.
- Client assumes full responsibility for all children and guests during the event.
- We are not liable for accidents, injuries, allergic reactions, or any damages arising before, during, or after the event.
- The client accepts all responsibility for party-related incidents and understands that our team is not accountable for supervision.
Client Financial Responsibility
- Retainers are non-refundable. The standard retainer is $200 but may vary depending on the party size.
- Deposits may equal 50% of the total cost of your party.
- Final payment is due no later than 7 days before the event. Failure to pay within 24 hours of the due date may result in cancellation and loss of your deposit and cancellation of your event.
- Accepted payment methods: Venmo, PayPal, credit/debit card, or cash (no checks).
- Cancellations result in forfeiture of the retainer.
Rescheduling Due to Weather
We reserve the right to postpone outdoor events in cases of rain, high winds, or other hazardous conditions. We will monitor forecasts and communicate with you to determine a safe reschedule date. No refunds will be given for weather-related cancellations; we will reschedule instead.
Damage Waiver
- The client is financially responsible for any lost, stolen, or damaged items (outside of normal wear and tear).
- Repairable items must be returned in their damaged state to assess cost.
- Charges will be applied to the card used at booking unless otherwise arranged.
VI. Smoke-Free Policy
All setups must occur in a smoke-free environment. Exposure to smoke or odor will result in:
- $100 cleaning fee
- 50% charge of total party cost
VIII. Allergy Responsibility
It is the client’s sole responsibility to notify us of any allergies, including skin sensitivities related to spa or slime packages. We are not liable for reactions to provided snacks, supplies, or products.
IX. Photography Release
Walnut + Magnolia Events may use photos taken during your event for promotional purposes. If you prefer not to have any guests photographed, please notify us in writing prior to the event.
X. Copyright Notice
All party themes, décor, and materials are the intellectual property of Walnut + Magnolia Events and may not be duplicated, resold, or used professionally by third parties.
XI. Non-Compete Clause
Client agrees not to operate or assist in operating a competing teepee, spa, slime, or glamping rental business within 300 miles of Polk County, Florida.
XII. Client Acknowledgement
Client acknowledges the right to seek legal counsel before signing. Client agrees that all terms are reasonable and necessary for the protection of Walnut + Magnolia Events.
XIII. Governing Law
This agreement shall be governed and interpreted in accordance with the laws of the State of Tennessee.
XIV. Travel Fees
A travel fee will be applied for locations beyond a 100-mile radius of area code 37404 (Chattanooga, TN). Travel rates are based on MapQuest.com suggested routes. Contact us to confirm your fee.
XV. Add-ons & Guest Count
Additional guests and rental items must be confirmed no later than 14 days before your event to allow for supply ordering. Add-ons are due the day of the event.
XVI. Space Requirements
- Client is responsible for ensuring that the setup area is clean, safe, and adequately sized.
- Teepee size: 46”W x 75”L
- Bell tents require a 23ft staked area
- Twin-size mattresses are used for all “Sleepover” parties unless otherwise specified.
- We do not move furniture and will not set up in an unsafe or obstructed space.
XVII. Setup & Duration
Setup generally takes 60–90 minutes. Please ensure the area is prepared and accessible upon arrival.
XVIII. Inventory Checklist
A detailed checklist will be provided. Clients must return all listed items in good condition. Damaged/lost items will be invoiced post-event. Any pre-existing damages must be disclosed at setup.
XIX. Guest Limits & Safety
Only one child per teepee is allowed. This ensures safety and protects rental items. The client is responsible for monitoring compliance.
XX. Rental Pickup
Our team will return the following day for breakdown and pickup. All items will be inspected during retrieval.
XXI. Client Responsibilities
- Have party area clean, clear, and ready for setup
- Maintain a smoke-free and pet-free zone
- No food or drinks in tents/teepees
- Remain on-site during the party
- Ensure proper care of all rental items
XXII. Signatures and Acknowledgement
Clients hereby acknowledge all of the above agreements and are entering into a contract with “Walnut and Magnolia Events.”
